Access to personal information

UQ collects, stores and uses personal information of staff, students, and other individuals. The type of information collected, how it is stored and used is set out in UQ’s Personal Information Register.

The Access to and Amendment of UQ Documents Procedure provides more details on these administrative access schemes.

Where you have not been able to locate the information you are seeking, or the administrative access to that information is limited, you may seek access through the RTI process. From 1 July 2025, any formal RTI application for your personal information (i.e. formerly an Information Privacy application) will be through the Right to Information Act 2009.

Individuals

Individuals can make an application to access or amend their personal information.

UQ has an Administrative Access Scheme (in accordance with the University's Access to and Amendment of UQ Documents Procedure). The Procedure will provide some guidance to self-serve access, or avenues to make administrative requests.

A person who is a claimant or worker under the provisions of the Workers' Compensation and Rehabilitation Act 2003 may, by written notice, ask the insurer, Work Injury Management (WIM) Team, to give the person a copy of the documents that relate to the person's application for compensation.

Requests for these documents should be made to the WIM Team.

Students

Third party access requests

Court orders or subpoenas

Law firms and insurers may apply for access to the personal information of their client (or claimant, where applicable), subject to providing a signed written authorisation from the individual whose records are requested. All information requests are to be made via UQ's Third-Party Information Requests page.

Law enforcement requests

Access to the personal information held by UQ may be released in accordance with the Information Privacy Act to law enforcement agencies. All law enforcement requests must be made in writing and are assessed in accordance with QPP6.

UQ charges an application fee for all such requests, along with a per-page photocopying / scanning / collation fee for any requests involving 150+ pages.
