Microsoft Teams Privacy Notice
This notice explains how we (The University of Queensland) manage personal information to meet our obligations under the Information Privacy Act 2009 (Qld) and the Queensland Privacy Principles.

What information are we collecting?
The University of Queensland (UQ) is collecting your personal information through your use of Microsoft Teams, including your:
- name
- email address
- contact number
- opinions shared during meetings
- image (if your camera is turned on)
- voice (if you choose to speak during the meeting)
- sensitive information, if shared by you, either verbally or through the chat function.
Why are we collecting your personal information?
We are collecting your information to facilitate online collaboration and video conferencing using Microsoft Teams (Teams). UQ allows users to use the recording function in Teams to make video and audio recordings of web meetings (meeting recording), obtain autogenerated transcripts of web meetings, and generate meeting summaries from recordings and transcripts.
Consent
By participating in this meeting, you consent to us collecting, using and disclosing your personal information as set out in this Privacy Notice.
Who will we disclose your personal information to and will there be records?
UQ will not disclose your personal information to a third party, other than sharing meeting recordings or transcripts with meeting participants or invitees who are unable to attend the meeting such as external invitees. Recordings, meeting summaries, shared files and transcripts that are required to be stored as a record under the Public Records Act 2023 (Qld) will be managed as such.
Overseas disclosure of your personal information
Other than in relation to the above disclosure requirements, the personal information you give us will be stored in Australia.
Use of your personal information
We will not use your personal information for any other purpose unless we are authorised or required under an Australian law, or court or tribunal order to do so.

What would happen if we did not collect your personal information?
It is not possible to participate in a Teams meeting unless you provide your name, email address or phone number. If you do not want to provide other personal information, you can either choose to leave the Teams meeting, or you may choose to join the meeting but turn off your camera and/or elect not to speak during the meeting.
